Stock locations

Purpose: A system for managing the physical location of inventory within a warehouse or stock compound. This ensures seamless traceability of parts as they transition in and out of the warehouse and other locations, including engineers' vans.

 

Add a Stock location

➡️ Profile Icon > Settings > Parts and stock > Stock locations > View > Add a stock location > Enter the required name > Save

When naming stock locations intended for engineers' vans, it's suggested to use the engineer's name followed by the licence plate of their van.


 

Assign a Stock location

Once you have created your Stock locations, you then need to assign them to your users. 

➡️ Profile icon > Settings > Users > View > View the user > Edit business details > Select the stock location for the user

 

Assigning the stock location "Warehouse" or the primary stock location to a user is not recommended.

Engineers can only be assigned to a single stock location at a time.

 

Edit a Stock location

➡️ Profile Icon > Settings > Parts and stock > Stock locations > View > Edit > Change the stock locations name > Save

 

Deleting/Archiving Stock location

➡️ Profile Icon > Settings > Parts and stock > Stock locations > View > Delete > Type delete > Delete

 

You cannot delete a stock location if the stock location has been used previously. You can only "archive" these.

 

Archiving a Stock location

To archive a stock location there must be no available stock and the "Current stock" should show "no records found"

You can then proceed to archive the stock location

➡️ Profile icon > Settings > Parts and stock > Stock location > View > Locate the stock location > Delete > Type "archive" > Archive

 

If there are any parts reorder list purchase orders against the stock location, you will receive a different window when archiving the location and you must specify which stock location the open purchase orders must move to (Completed purchase orders will not be affected)

 

Once a Stock location is archived you will:

  • No longer be able to transfer stock to this location
  • Not be able to perform stock audits on this location
  • Still be able to search for the stock location but it will be marked as "archived"
