Purpose: It's important to be aware of how your schedule settings are configured. This will ensure you know which jobs will be displayed and how and avoid any confusion, especially when the state of a job or appointments changes after it has already been created within the schedule.
Configure Schedule settings
Go to profile button > settings > use search functionality or navigate via the left handed 'Categories' > Schedule settings
Calendar display density:
You can select a display density, setting up how large/prominent the actual calendar appointments appear in your schedule. Available options are 'Compact', 'Standard', 'Expanded'.
Overlap appointments:
If you'd like your technicians to be able to have more than one scheduled appointments booked into the same slot, you can enable the 'Overlap appointments' feature. These appointments will be displayed as such:
Terminated appointments:
When an appointment is terminated, then choose the required options from the drop down to configure your schedule settings.
- Displayed - If you set an appointment as Displayed, it means that it will display as a normal appointment, even if it is terminated.
- Not displayed - If you set an appointment as Not displayed, it means that when an appointment is terminated, it will not be displayed in the schedule.
- Greyed out - If you set an appointment as Greyed-out, it means that when an appointment is terminated, it will be displayed on the schedule, but will be greyed out to indicate it's status.
Rejected appointments:
When an appointment is rejected, then choose the required options from the drop down to configure your rejected settings.
- Displayed - If you set an appointment as Displayed, it means that it will display as a normal appointment, even if it is rejected.
- Not displayed - If you set an appointment as Not displayed, it means that when an appointment is rejected, it will not be displayed in the schedule.
- Greyed out - If you set an appointment as Greyed-out, it means that when an appointment is rejected, it will be displayed on the schedule, but will be greyed out to indicate it's status.
No access appointments:
If a technician arrives at the customer's location and the customer is unavailable, a 'No Access Event' will be generated. Choose the required options from the drop down to configure your 'No access event' settings.
- Displayed - If you set an appointment as Displayed, it means that it will display as a normal appointment, even if it is in no access status.
- Not displayed - If you set an appointment as Not displayed, it means that when an appointment is no access, it will not be displayed in the schedule.
- Greyed out - If you set an appointment as Greyed-out, it means that when an appointment is no access, it will be displayed on the schedule, but will be greyed out to indicate it's status.
Canceled appointments:
Choose the required options from the drop down to configure your cancelled event settings.
- Displayed - If you set an appointment as Displayed, it will means that it will display as a normal appointment, even if it is canceled.
- Not displayed - If you set an appointment as Not displayed, it means that when an appointment is canceled, it will not be displayed in the schedule.
- Greyed out - If you set an appointment as Greyed-out, it means that when an appointment is canceled, it will be displayed on the schedule, but will be greyed out to indicate it's status.
Schedule view:
You can select whether you want your technicians displayed in columns or rows (this can be a useful feature depending on the number of technicians you have within the system).
Show past jobs:
This option helps you focus on upcoming scheduled events by hiding past jobs on the web map diary page. You can choose to display all past appointments, only the most recent one, or none at all.
