Managing your Storage locations

Purpose: Overseeing your storage locations is crucial to maintain accurate storage levels. It begins with creating and assigning storage locations to users (please see our Storage locations guide to see how this is done) followed by the addition of storage. It emphasizes gaining insights into inventory levels, reorder lists, reservations, and available balances. It also discusses tracking part usage, origins, bookings, and arrivals, as well as managing storage locations to ensure proper processes. Furthermore, it mentions viewing reservations on jobs and taking actions such as adding, modifying, or removing parts from storage locations.



Searching for Storage locations

Once you have created your storage locations and assigned them to the necessary users, you will need to start adding storage to them so they are ready to go. However, you may need to access them in the future to view the history of the storage location, check the parts reorder lists against them and see which parts they have reserved. 

  • To search for your storage locations, go to the global search and type settingsstoragelocations:(Alternatively, you can also search for the storage location's name, for example ‘Warehouse’)

 

Storage location tab

Purpose: Gain comprehensive insights into your storage locations, including current inventory levels, part reorder lists associated with them, details on reservations and their reservation reasons, as well as the available balance for each part. This is also where you would start adding your storage into the location.

  1. Total storage - The total amount of storage, including all reserved storage
  2. Reserved storage - The amount of storage that is currently being used on jobs
  3. Reserved for return - The amount of storage that has been marked for return
  4. Reserved for replenishment - The amount of storage which cannot be used as it's reserved to be automatically replenished from your parts reorder template. 
  5. Scheduled for vendor pickup - The amount of storage which your technicians are due to go and collect from your vendor
  6. Balance available - The amount of storage which is not being used for anything or being reserved for anything

 

Storage location history

Purpose: See where your parts have been used, where they have come from, who booked them in/out and when they arrived. This is also where you can manage a storage location to ensure the correct processes are being followed.

To filter the history by actions, click the action drop down and you will be presented with the drop down show below:

  1. Purchased - storage that has been bought from a vendor
  2. Manually adjusted - storage that has been changed through the 'manually adjust storage' button
  3. Reserved - storage thats been marked as 'available' on a job
  4. Unreserved - storage thats been manually unreserved from the parts reserved tab
  5. Used on site - storage that has been marked as 'installed' on a job
  6. All transfers - storage thats either been transferred for a job and storage thats been transferred without a job
  7. Transferred for a job - storage that has been delivered to the office and then moved to the technicians van / storage that has been made available from a storage location which the technician collects and moves into their van
  8. Transfer without a job - storage that has been manually moved from one location to another
  9. Reserved for return - storage that has been reserved to be returned to storage
  10. Returned to vendor - storage that has been marked as reserved to be returned to a vendor
  11. Reserved for replenishment - storage that cannot be used as it must be maintained for your minimum storage quantity for the parts re order list.

 

Storage location reserve List

Purpose: See where your parts within this storage location are reserved on jobs. This means the part is in your warehouse/storage location but has been made available on a job. View which job number the part has been assigned to when it’s assigned for and who the customer is for that particular job.

Manually adjusting storage

Purpose: This is where you add your storage to your storage locations

➡️ Go into your storage location > Quick links > Manually adjust storage

It’s best to hit the ‘save parts’ button every 10 minutes or so to ensure that no progress is lost if something were to interrupt this process.
