Purpose: Enable efficient automation of communication with prospects, streamlining follow-up before and after raising a proposal. By setting up Email templates and SMS templates you can effectively utilize these automated triggers. Here is a video on Automating Customer Chasing in Commusoft.
Value Proposition: By leveraging automation for customer follow-ups, you can save time and ensure timely communication, enhancing your productivity and increasing the chances of closing deals.
To maximise the benefits of this feature, please ensure you have your Email and SMS templates configured. This will allow you to:
- Save Time: Automate routine follow-up tasks, freeing up your time for more critical activities.
- Improve Consistency: Ensure all prospects receive consistent and timely communications.
- Increase Efficiency: Reduce manual effort and potential errors in the follow-up process.
Example: Automating Follow-ups for Required Photos
- Email After 3 Hours: An email is sent to the prospect requesting the required photos.
- SMS After 5 Hours: A follow-up SMS is sent if the photos have not been received.
- Email After 3 Days: A second email reminder is sent if the photos are still outstanding.
- Schedule an Activity to Call Customer After 5 Days: An activity is scheduled in the CRM to call the customer if the photos have not been received after 5 days.
View Setting
➡️ Profile icon > Settings > Automation > Sequences > View
Add new sequence
➡️ Add new sequence > Complete Side panel > Save
Set up a sequence
➡️ Set up > > Add blocks to build the Sequence > Design your workflow > Save
- Delay blocks
- Delay > set Delay > Save
- Communication blocks
- Email > select Email template from drop-down > Save
- SMS > select SMS template from drop-down > Save
- Actions blocks
- Scheduled activity > complete the side panel > Save
- Notification > complete the side panel > Save
Activating a Sequence
➡️ Toggle switch to Green > type CONFIRM > Confirm
Send a Sequence
➡️ Opportunities > Choose from the Opportunity Pipeline > Add record > Send sequence > Choose sequence template > Send sequence to > Send
Stop sequences
➡️ Profile icon > Settings > Automation > Sequences > View
Automatic triggers
➡️ Set up > Exit criteria tab > Add new exit condition > select one or more exit conditions, upon which the sequence will stop automatically
- Proposal is accepted
- Proposal is rejected
- Proposal is not valid anymore (expired/deleted )
- Any communication (Phone call logged incoming or Email has been received) incoming (Pls note this isn't scheduled activity as it's outbound)
- Images through the media portal
Once the sequence is activated and when the opportunity meets any of the above 5 exit conditions, the sequence will automatically stop.
Manual action
To manually stop an existing sequence.
➡️ Opportunities tab > Click the relevant Card > Click "Stop the sequence" in the opportunity timeline.
➡️ View Customer record > On going works > Locate the Opportunity > View > Click "Stop the sequence" in the opportunity timeline.
