The purpose of creating an opportunity for a customer/work is to formalize and manage potential prospects or business interactions. It allows businesses to track and manage potential deals, sales leads, or customer projects more effectively. It also helps streamline the process, set clear objectives, and ensure follow-ups, ultimately improving sales and customer relationship management.
View settings
➡️ Profile icon > Settings > Opportunities > Opportunity templates > View
By default, you will find a folder named "Opportunity templates." Any templates not assigned to other folders will be grouped under this default folder.
Add new template
➡️ Add new template > Complete side panel > Save.
- Folder: The designated location where the template will be saved.
- Name: The name of the template.
- Job Description: Description of the job for which the opportunity will be created.
- Cover page templates: Choose the relevant cover page.
- Pipeline: Represents the different stages of the process.
Cancel/Save.
The opportunity expiration feature will be available only in the 'Sales Growth plan'. If you opt for the 'Starter plan', then this option will not be available.
Configuring the layout
Configure template
- Configure > Complete the sections on the left > Save and close
Opportunity templates
- Opportunity notes > Add any relevant information. Once customer accepts the opportunity, a corresponding job will be created, and this information will appear in the 'Job Notes' field.
Communications
- Customer confirmation
- Email: Add your customer confirmation message. Fill in both the subject and body, use tagging as needed and Save.
- SMS: Add your customer confirmation message. Use tagging as needed and ‘Save’.
- Letter: Add your customer confirmation message. Use tagging as needed and ‘Save’.
- Work address confirmation
- Email: Add your Work address confirmation message. Fill in both the subject and body, use tagging as needed and Save.
- SMS: Add your Work address confirmation message. Use tagging as needed and ‘Save’.
- Letter: Add your Work address confirmation message. Use tagging as needed and ‘Save’.
- On way notification
- Email: Add your On way notification message. Fill in both the subject and body, use tagging as needed and Save.
- SMS: Add your On way notification message. Use tagging as needed and ‘Save’.
- Send Proposal template
- Insert the [Proposal_Portal_url] tag in both Email and SMS to share the portal link with your customers.
You can create only one template for proposal confirmation emails and SMS; multiple templates cannot be created.
Mobile experience
- Arrive questions > Please select > Default Yes/No > Save
- Survey questions > Please select > Default Yes/No > Save
Attachments
- Attached files > Add new file
Clone a template
- Clone > Type Clone > Clone
Edit a template name
- Edit > Amend Template details> Save
Delete a template
- Delete > Type delete > Save
Add new folder
You have the flexibility to create as many folders as you require, and within each folder, you can further organize your templates by creating subfolders. Click "Add new folder" on the left side panel to create a folder or subfolder.
Edit folder
➡️ Locate the folder > Change the folder name > Save
Delete folder
➡️ Locate the folder > Delete > Type Delete > Delete
Organizing folders and templates
Drag and drop your templates and folders to keep everything organized. To move multiple templates and/or folders at one time, check the box next to the name before dragging.
