Purpose: It's important to be aware of how your diary settings are configured. This will ensure you know which jobs will be displayed and how and avoid any confusion, especially when the state of a job or event changes after it has already been created within the diary.
Configure Diary settings
Go to profile button > settings > use search functionality or navigate via the left handed 'Categories' area > Diary settings.
Below are the fields that need to be configured for your diary settings:
Diary display density:
You can select a display density, setting up how large/prominent the actual diary events appear in your schedule. Available options are 'Compact', 'Standard', 'Expanded'.
Overlap events:
If you'd like your engineers to be able to have more than one diary event booked into the same slot, you can enable the 'Overlap events' feature. These events will be displayed as such:
Aborted events:
When an event is aborted, then choose the required options from the drop down to configure your diary settings.
- Displayed - If you set an event as Displayed it will mean that it will display as a normal event, even if it is aborted.
- Not displayed - If you set an event as Not displayed it will mean that when an event is aborted, it will not be displayed on the diary, the event will be removed from the diary.
- Greyed out - If you set an event as Greyed-out it will mean that when an event is aborted, it will be displayed on the diary but will be greyed out to indicate it's status.
Rejected events:
When an event is rejected, then choose the required options from the drop down to configure your rejected event settings.
- Displayed - If you set an event as Displayed it will mean that it will display as a normal event, even if it is rejected.
- Not displayed - If you set an event as Not displayed it will mean that when an event is rejected, it will not be displayed on the diary, the event will be removed from the diary.
- Greyed out - If you set an event as Greyed-out it will mean that when an event is rejected, it will be displayed on the diary but will be greyed out to indicate it's status.
No access events:
If an engineer arrives at the customer's location and the customer is unavailable, a 'No Access Event' will be generated. Choose the required options from the drop down to configure your 'No access event' settings.
- Displayed - If you set an event as Displayed it will mean that it will display as a normal event, even if it is no access.
- Not displayed - If you set an event as Not displayed it will mean that when an event is no access, it will not be displayed on the diary, the event will be removed from the diary.
- Greyed out - If you set an event as Greyed-out it will mean that when an event is no access, it will be displayed on the diary but will be greyed out to indicate it's status.
Cancelled events:
Choose the required options from the drop down to configure your cancelled event settings.
- Displayed - If you set an event as Displayed it will mean that it will display as a normal event, even if it is cancelled.
- Not displayed - If you set an event as Not displayed it will mean that when an event is cancelled, it will not be displayed on the diary, the event will be removed from the diary.
- Greyed out - If you set an event as Greyed-out it will mean that when an event is cancelled, it will be displayed on the diary but will be greyed out to indicate it's status.
Diary view:
You can select whether you want your engineers displayed in columns or rows (this can be a useful feature depending on the number of engineers you have within the system).
Show past jobs:
This option helps you focus on upcoming diary events by hiding past jobs on the web map diary page. You can choose to display all past events, only the most recent one, or none at all.
