Appliances (groups, types, makes, & models)

You can store a library of various appliances within Commusoft, categorized by type, make, and model. Setting up categories from the top down (groups > types > makes > models) allows for efficient searching and organizing. Fuel types, defined in system settings, are also used to describe appliances by their fuel source (e.g., Electric, Oil, Solid Fuel).

 


 

Appliance Groups

Adding specific appliance groups helps streamline workflows and reduces admin time. You can set up as many groups as needed, ensuring concise information is readily available for engineers.

 

Add Appliance Group

➡️ Go to System Settings > Appliance Groups.

  1. Add the appliance group using the box on the left.
  2. Keep group names general, as specific types are covered in other system areas.

 


Edit Appliance Group

➡️ Go to System Settings > Appliance Groups.

  1. Click Edit to alter an entry.
  2. Make the required changes and click Save.

 


Delete Appliance Group

➡️ Go to System Settings > Appliance Groups.

  1. Click Delete.
  2. Type delete to confirm and tap Confirm.

Note: Deletion in Commusoft is irreversible.

 


Appliance Types

Appliance types allow you to segment appliances into smaller niches under a group (e.g., 'Ovens' as a group and 'Double Burner' as a type).

 

Add Appliance Type

➡️ Go to System Settings > Appliance Types.

  1. Select the appropriate group.
  2. Add the appliance type.
  3. Example: Group = "Oven", Type = "Double Burner Oven".

 


Edit Appliance Type

➡️ Go to System Settings > Appliance Types.

  1. Click Edit to make changes.
  2. Save the updated entry.

 


Delete Appliance Type

➡️ Go to System Settings > Appliance Types.

  1. Click Delete.
  2. Type delete to confirm.

Note: Deletion in Commusoft is irreversible.

 


Handling Unknown Appliance Types

  1. Go to System Settings > Appliance Types.
  2. Filter the list using the dropdown to select Unknown.
  3. Use Edit to reassign appliance types to a different group or click Delete to transfer data to a different type.

 


Appliance Makes

Appliance makes allow you to categorize appliances by manufacturer, providing clearer information for engineers on-site.

Add Appliance Make

➡️ Go to System Settings > Appliance Makes.

  1. Add the manufacturer name to your inventory.
  2. Click Save.

 


Edit Appliance Make

➡️ Go to System Settings > Appliance Makes.

  1. Click Edit to make changes.
  2. Save the updated entry.

 


Delete Appliance Make

➡️ Go to System Settings > Appliance Makes.

  1. Click Delete.
  2. Type delete to confirm and tap Confirm.

Note: Deletion in Commusoft is irreversible.

 


Merging Appliance Makes

➡️ Go to Advanced Options > Merge Appliance Makes.

  1. Select the appliance make you want to merge.
  2. Choose the make to merge it with from the dropdown.
  3. Follow the instructions in the pop-up message to complete the merge.

 


Appliance Models

Appliance models provide specific information for engineers and allow customers to reference their appliances for future service.

Add Appliance Model

➡️ Go to System Settings > Appliance Models.

  1. Select the appliance group, fuel type, and appliance make.
  2. Add the model number or name.
  3. Click Save.

 


Edit Appliance Model

➡️ Go to System Settings > Appliance Models.

  1. Click Edit to make changes.
  2. Save the updated entry.

 


Delete Appliance Model

➡️ Go to System Settings > Appliance Models.

  1. Click Delete.
  2. Type delete to confirm.

Note: Deletion in Commusoft is irreversible.

 


Merging Appliance Models

➡️ Go to Advanced Options > Merge Appliance Models.

  1. Use the checklist to select appliance models you want to merge.
  2. Filter by appliance group, fuel type, or make to narrow down the list.
  3. Select the merge option and follow the instructions in the pop-up message.

Note: You can use the dropdown in the merge section to mass edit appliance data (e.g., change all selected appliances' fuel types to "Gas").

 


Notes

  • Check Appliance Areas: Engineers should always check the appliance area while on a job to ensure all inputs are correct, and duplicates are deleted before creating a certificate.
  • Reinstall Mobile Apps: If the mobile apps are not reinstalled after completing this process, your certificates may become corrupted and irretrievable.
  • Merging Appliance Data: When merging appliances (e.g., merging 'Baxxi' into 'Baxi'), all appliance details associated with a customer will update accordingly. Certificates will remain as originally entered into Commusoft, and merging is irreversible.
  • Unknown Data: If data says 'unknown', this is from the older Commusoft system (v3). You will need to reassign appliance types to the correct group. Instructions are provided below.
