Similarly to our ‘booking portal link’ for jobs, we’ve introduced a portal through which you can allow your customers to book in their very own service reminder appointment dates and times.
When you're setting up your service reminders, you can access this tag (for Email and SMS) when you are crafting your property messages. (This can be achieved through your system settings. Open the 'Service reminders' section and click into 'Setup letters').
The link will appear in the email you send out, and, just like the booking portal for jobs, they will be taken to a site through which they will be able to see available times and slots and simply choose the best suited:
This information (the chosen appointment slot) will be automatically pulled through and applied to your own diary so as soon as they’ve made their decision you’ll be able to see for yourself.
In order for this functionality to work, there are a number of prerequisite settings that will need to have been configured within Commusoft first:
- Ensure you have skills and shifts patterns set up for your engineers. This will ensure that the job will go to someone both available and with the correct skillset to carry out the job.
- Ensure you have the correct skills also applied to the appropriate job descriptions. This can be done when setting up your job descriptions themselves and can also be added to existing job descriptions by editing them.
- You will also need to have your service windows already established through your settings. These are used when you want to give your engineer a specific time to arrive on-site, but you don't want to inform the customer of this
