Work address record

A work address is a location or property where works will be carried out, but is nt the primary property for the customer. This could be a tenant's residence, a construction site, or a commercial property, for example. Each work address is linked to a specific customer, allowing you to keep a clear record of where each job occurs.

You can create multiple work addresses for a single customer, offering flexibility for managing various properties or sites. Once a work address is set up, it becomes the central point for related activities, including jobs, estimates, and opportunities. This ensures that all work is properly documented and linked to the correct property while accessible from the main customer.

By default, the page will display active work addresses. 

  1. Search: Look for a specific work address.
  2. Quick Filter: Filter work addresses by active or dormant status.
  3. Add New Work Address: Create a new work address for the customer.
  4. Download: Export the list of work addresses to Excel.
  5. Print: Print the list of available work addresses.
  6. Actions:
    • View: See the ongoing work, history, and any assigned service jobs for this work address.
    • Edit: Modify the work address information.
    • Delete: Remove the work address.

Add new work address

➡️ Navigate to the customer > Work address tab > Add new work address.

➡️ Navigate to the customer > Quick links > Add new work address.

Landlord

The landlord is the individual or entity who owns the property. The landlord holds the legal title to the property and has the authority to make decisions regarding its use and upkeep. Once you add a landlord, you cannot delete it.

If no landlord details are entered for this work address, you can add them here.

  • Existing landlord - Search for the landlord's name.
  • New landlord - Add new landlord > Enter landlord details > Save.

Address

  • Enter contact and property details - Enter the complete address to get the exact geolocation in the customer screen.

Communication preferences

Based on the details given in the address section, available communication modes are;

  • Phone call
  • SMS
  • Email
  • Letter

Check or uncheck preferences as required > Add work address.

You can edit the communication preferences as needed. For more information, refer to the communication preference setup guide.

For instance, providing the email address later requires manual activation of email communication preferences.

Work address details are displayed under customer details in the property dashboard side panel.

Edit work address

➡️ Edit > Update the work address information > Save

Edits to work address details will change all historical records.

 

Delete work address

➡️ Delete > Type Delete > Delete

By deleting a work address, estimates, jobs, invoices, and payments associated with the work address will be deleted.

A work address cannot be deleted with pending invoices or credit notes.

Deleted work address cannot be recovered.

 

Transfer work address

The reason for transferring a work address is to streamline the process when the work address is sold to another customer. Instead of deleting the existing work address and then adding it again under the new customer, you can simply use the transfer option. This feature allows you to move the work address from its current parent property to another customer with ease.

Multiple work addresses under a customer can be transferred to a new customer.

Original job history(Completed) will be stored against the original customer and only new jobs will be assigned under the new customer.

When moving work address from one parent property to another, take care of these rules:

  • Work address should have no estimates/jobs/opportunities
  • Work address should not have an active contract and other contract statuses like active, renewed_pending_start_date, customer_renewal_required, pending_renewal_failed, pending_mandate_confirmation, and draft.
  • If the prior parent customer is deleted once the work address is migrated to another customer, it will impact both job reports and job view by displaying the contact name as an encoded value.

  • We will not check if the work address is 'dormant' or 'active' or if the transferring customer is 'dormant' or 'active'. We will just update the status of transferring the customer to the Work address.

  • We will not check if the work address transferring customer has been marked as 'Do not work with'.

  • We allow to transfer the work address if any payment is pending for the invoices

➡️Edit > Advanced option > Transfer Work address.

Select the customer name to whom the work address is and any service reminders that need to be transferred > Move.

Now the work address will be moved under the new customer and all its associated service reminders.

Providing a contact for transferring service reminders is required, even if the customer has no service reminders.

Reporting

In the Reporting tab, you can check how the customer name shows based on the transfer of work address for jobs and service reminders.

➡️ Reporting tab > Burger icon > Service reminders > Service reminders.

Search by customer name with the new customer name. 

You can view the finished service reminders under the old customer name and the upcoming service reminders under the new customer name.

Search by customer name with the transferred work address.

The completed job will be under the old customer name and the upcoming jobs will be under the new customer name.
