The Service Reminder Report is a valuable tool for reviewing historical data on completed service reminder jobs. It allows you to verify when each job was performed and identify the first engineer who attended to it. This report helps you analyze customer behavior, track job creation from service reminders, and improve your workflow by understanding how customers respond to your communications.
Accessing the Service Reminder Report
To utilise service reminder reporting, please follow the steps below. We also have a video tutorial available: ▶️ Understanding the utilisation of all service instances in reporting.
➡️ Go to Reporting > Service reminders > Service reminders
This report displays every instance of service reminders stored in the system, including those that have been completed and those that were due. It is a historical report, designed for analysis rather than tracking upcoming reminders.
Filters You Can Use Within the Report
You can apply a variety of filters to customize the report and find specific service reminder instances:
- Customer Type: Filter by the type of customer (e.g., company, private customer, estate agent).
- Service Type: Filter by the type of service completed.
- Communication Type: View reminders based on the communication method used (Email, SMS, Letter, Phone call).
- Due Date: Filter reminders based on when the service was actually due.
- Customers: Narrow down results by specific customer accounts.
Note: Deleting a service reminder will remove all historical instances of that service from this report.
Understanding the Data
The Service Reminder Report helps you track:
- When reminders were sent.
- The type of communication used to contact the customer.
- The due dates and completion dates of services.
- How often customers rebook services following reminders.
By examining this data, you can identify trends, such as customers who frequently rebook services or those who consistently fail to respond to reminders. This can guide your approach to communication, helping you focus efforts on the most effective methods.
Properties Without Service Reminders
➡️ Go to Reporting > Service reminders > Properties without services
This section lists properties (both customers and work addresses) that do not have any service reminders linked to them. It is a useful tool to identify potential missed opportunities for scheduling services.
- This page helps identify properties where jobs were added but no service reminders were attached.
- You can use this list to target properties without reminders, potentially increasing revenue by offering services to those customers.
Exporting the Report
You can export the report as a PDF or an Excel sheet to further analyze the data outside of the system. This is particularly useful for sharing insights with your team or for more in-depth data manipulation.
