Attach files to jobs, estimates, or customers to facilitate easy management of important documents, ensuring all relevant files are easily accessible and organised against the record they need to be. Additionally, users can take multiple pictures and videos simultaneously, speeding up larger-scale jobs.
Navigation to attached files:
➡️ Search for customer, job, estimate or invoice > More > Attached files
You can search using the following terms;
Customer details:
- Customer account number, e.g., 6234
- Customer name (first or last name), e.g., John or Doe
- Address line, e.g., XYZ Drive
- Town, e.g., XYZ
- County, e.g., London
- Postcode, e.g., SE1 6YP
- Company Name, e.g., ABC Company
- Telephone, e.g., 01234567
- Email, e.g., johndoe@xyz.com
Job Number, Invoice Number or Estimate Number
Workflow
The process of attaching files for jobs, estimates, and customers is the same, so the step below applies to all workflows.
- Search for the record > More > Attached Files
Android iOS
- On the attached file screen, you can view all the existing attachments by date.
- Filter: You can filter by photo, video, PDF, or audio.
- Search: You have the option to search by the file name.
- To attach a file, click the ‘plus’ icon at the bottom right of the screen.
Several options will now be available to choose from.
Android iOS
Take photo
- You can take one or multiple photos with the new attached file feature. Tap Next > Rename the file based on your preference and hit Save.
- Hold down on the image to preview the photo.
- From the preview screen, you have the option to edit, rename, share, or delete the image.
Record video
- You can record multiple videos, one after another, without interruption.
- As you record each video, the count of the recorded videos will be displayed on the video icon screen. This helps you keep track of the number of videos you have recorded.
- After recording the videos, you can rename the files before or after saving the videos on the attached file screen.
Preview thumbnail is only available for photo and video files.
Scan document
You have the option to scan a document by following the steps below, which is then saved as a PDF file.
Record audio
- This allows you to record audio files
- You'll be prompted to give permission to allow access to your microphone; click 'allow'
- Tap the 'record audio' button
- You also have the option to 're-record' if the recording was not done properly.
- Once done, hit save.
- You have the option to name the recorded file before the final save
Choose from gallery
- This allows you to upload files from the gallery; however, this behaviour is different on both platforms
- Android: You have the option to choose images, videos, audio, PDF, Word, or Excel files from the gallery.
- iOS: You have the option to only upload files from the photo gallery. No Word, Excel, or PDF files can be accessed by using this option.
Import from iCloud (iOS devices only)
- This allows you to import images, videos, audio, Word and Excel documents from your iCloud drive.
- Press and hold to preview images, videos, and audio files.
