What is an Asset?

Assets are pieces of equipment installed at a customer or work address. These can include anything from boilers to fire alarms and more. You can configure your asset settings from the assets section of your system settings.

 


What is Asset Structure?

Asset settings allow you to configure how your assets are stored, displayed, and managed.

  • Asset groups: Higher-level categories (e.g., "Batteries").
  • Asset types: Specific items under the group (e.g., "AAA batteries").

This structure allows for more precise asset management.

 


Standard Asset Fields

The Standard asset fields setting allows you to configure the fields shown when creating new asset groups or types. Once set, these fields apply to all new assets added.

  • You can edit these fields using drag-and-drop functionality. Choose a name, fill in the field text, and click Save to add the field.

 


Dynamic Drop-Down Fields

Dynamic drop-down fields are customizable lists that appear when adding assets, such as location, make, or fuel type.

  • After selecting the Dynamic drop-down question type, configure the options in the Asset dynamic fields section.
  • Add options on the right side of the screen while managing the list of drop-downs on the left.

 


Add an Asset to a Customer Record

Once assets are set up, you can add them directly to a customer’s profile page:

➡️ Go to the Assets tab in the customer profile.

  1. View existing assets or click Add new asset.
  2. Select the asset group and configure the specifics.
  3. Add new makes and models if they are not already in the system.

 


Asset Types

Asset types allow for a more detailed classification of assets within groups, enabling specific data fields to be associated with each type.

Add New Asset Type

➡️ Go to Profile Icon > Settings > Assets > Asset Types > View.

  1. Choose the asset group from the dropdown.
  2. Enter the Asset type name.
  3. Click Add asset type.

Configure Assets

  1. Click Configure assets.
  2. Drag and drop the required fields from the sections to configure your asset types.

Options for configuration:

  • Options: Related inquiry options.
  • Defaults: Default values for the inquiry.
  • Validations: Set the inquiry as mandatory or not.
  • Dependencies: Link inquiries together based on dependencies.
  • Delete: Remove the inquiry.
  1. Click Convert draft to active > Type Save > Save draft as active.

  2. If you edit the setup, you may be asked if you want to create a new version due to existing use of the form.

 


Asset Groups

Asset groups provide a structured framework for managing assets efficiently, helping to categorize and structure assets based on common characteristics.

Add New Asset Group

➡️ Go to Profile Icon > Settings > Assets > Asset Groups > View.

  1. Enter the Asset group name.
  2. Click Add asset group.

Configure Assets

  1. Click Configure assets.
  2. Drag and drop the required fields to configure your asset group.

Use the following options:

  • Options: Related inquiry options.
  • Defaults: Default values.
  • Validations: Choose whether an inquiry is mandatory.
  • Dependencies: Link inquiries based on dependencies.
  • Delete: Remove the entry.
  1. Click Convert draft to active > Type Save > Save draft as active.

  2. If editing the setup, confirm if you want to create a new version due to existing form use.

 


Editing and Deleting Assets

Edit Asset Type or Group

➡️ Go to the relevant asset section (Asset types or groups).

  1. Click Edit.
  2. Make necessary changes.
  3. Click Save.

Delete Asset Type or Group

➡️ Go to the relevant asset section (Asset types or groups).

  1. Click Delete.
  2. Type Delete to confirm.
  3. Click Delete.
